TAKE THIS TO WORK

Assign each field an authoritative source and an update rule before connecting systems.

Multiple systems are not automatically the problem.

A website enquiry becomes a record in the CRM and order system. After a customer moves, sales updates the CRM while shipping reads the old address. Each screen looks plausible; the workflow never established which value should be used.

This is a simulated example, with no customer data or measured results. The useful question is who decides the correct value of each field. Answering it does not necessarily require replacing every tool with one system.

Assign ownership to fields.

A registered office, order delivery address and administrative contact have different purposes. Forcing a single value can overwrite a legitimate exception. Choose the source of each field with the people responsible for that process.

Define who may edit it and how matching records are identified. Names can change or be shared by multiple customers. A suitable stable identifier helps distinguish records without relying on similar wording.

The latest edit can still be wrong.

An overnight import may be newer than a correction someone has checked. Define the direction of synchronisation, conflict handling and exceptions before enabling a connection. A recent timestamp does not establish business authority.

If a destination is offline, the failed update needs a visible state and controlled recovery. Retrying should not accidentally create a new record instead of updating an existing one. Available options depend on the systems’ APIs and permissions.

Trace one change before planning the project.

Pick one field people currently retype. Follow a change through its source, approval, destination and failure path. Include an order whose delivery address differs from the customer’s main address.

A possible rule is: maintain the company address in the CRM and the delivery destination in the individual order. Validate that rule for the actual business. ARXE Studio designs custom software and integrations around these responsibilities.

Simulated workflow: responsibilities must be agreed within the project.
