A real task comes before the word “AI”.
Find an approved procedure. Draft a response for someone to check. Classify a request before routing it to a team. Those are tasks we can assess. “Add AI” is not a workflow. We define the input, expected result, owner and steps that currently take manual work.
The pilot compares the current workflow against an agreed sample. We measure correctness, errors, review time and usage rather than promising savings before testing. A bilingual company needs Italian and German examples: a valid answer in one language does not prove quality in the other.
Company documents are not an all-you-can-eat buffet.
An assistant should not read more documents than the employee using it. We review permissions, eligible data, providers, retention and activity logs. Searching, suggesting and executing need separate limits. Sensitive operations need human approval and a way to stop when reliable sources are missing.
A document or incoming message can contain misleading instructions. It must not become permission to change records or send communications. Search, drafting and system actions are separated; sensitive operations need appropriate checks and approvals.
A small pilot. Including the mistakes.
A demo that answers three hand-picked questions is a well-behaved demo. A pilot also needs incomplete documents, unrelated questions and denied access. We compare accuracy, handling time, cost per task and exceptions with the current process. Then decide whether to expand.
ARXE Studio designs AI integrations from Bolzano for businesses in South Tyrol, Trento and Veneto through online collaboration. ARXI on our website is our own assistant, not proof that a customer's business system is already connected. Concept products remain distinct from operational features.
The practical choice
| Situation | Worth considering |
|---|---|
| Repeated questions about company documents | Assisted search with checkable sources and appropriate access. |
| Classifying emails or enquiries | Drafts and classification with review before further actions. |
| Extracting data for a business system | Verifiable fields, validation and exception handling. |
| A step governed by stable rules | Consider deterministic automation without AI first. |
Where are you starting?
Recognise your situation? Start here. Scope and investment still need a review of your workflows, data and existing tools.
First step
Start with a limited set of sources, verifiable answers and explicit permissions.
Before the quote
Tell us what needs to work
- A precise task and its expected outcome.
- Current sources and the people allowed to access them.
- Correct examples and cases where the system should refuse to answer.
- Permitted actions, human review and error handling.
- Usage limits, recurring costs and service ownership.
The quote separates initial development, content, external services and recurring costs. Access, source code, handover and support have a written scope.

Is a chatbot already a business integration?
Not necessarily. Connecting sources, authentication, permissions and workflows needs a defined project. A conversational demo does not establish those connections.
Will AI always answer correctly?
No. Evaluation, controlled sources, the option to decline and human review where needed are essential. We do not promise error-free answers.
Can you support Italian and German?
Yes, both languages and English can be included. Terminology and quality criteria are checked separately with the client's responsible reviewer.
